Copy Management

The Logistics Management Branch (LMB) is responsible for copier management for NOAA offices in the Washington, D.C. Metropolitan Area. Copiers are defined as copying/duplicating equipment that make paper copies directly without requiring the creation of an intermediate master for each original. (NOTE:  This includes copying equipment whose features are combined with all new technology, i.e., fax, scanners, network/internet accessability, etc.)

The number of copies on an office copier shall not exceed 500 copies of any one page or a total of 5,000 units (pages x copies) in the aggregate. Copying requirements that exceed these limits must be produced in the NOAA Duplicating Plant, or through the LMB.

NOAA Copy Manager

The NOAA Copy Manager has the authority to approve/disapprove requests for copiers. To obtain any copying/duplicating equipment, the following procedure should be followed:

The requesting office shall contact the NOAA Copy Manager to discuss their copier requirements.
The Copy Manager will then determine if there is another copier within the vicinity that can be shared. If not, a list consisting of three vendor corporations, vendor representatives, and their phone numbers will be sent to the requesting office.  The requesting office should contact each vendor for a demonstration of similar equipment and a cost proposal.
When the selection is made, the following shall be prepared and fowarded to the Copier Manager:

a memorandum of  justification statement (reference NOAA Administrative Order 206-6, Copying Equipment)
a Procurement Request, CD-435;
a cost comparison chart of similar equipment compiled from the proposals of three (3) vendors; and
a copy of all documentation received from these vendors used in the cost comparison.
